About this policy
This policy explains how CREWFIT Pty Ltd (ABN 64 634 678 890) and CREWFIT Padstow Pty Ltd (ABN 98 677 490 783), collectively "CREWFIT", "we", "us" or "our", collect, hold, use and disclose personal information.
It applies to members, casual visitors, prospective customers and people interacting with our websites, portals and services.
1. Privacy commitment
We are committed to protecting personal information and handling it in accordance with applicable Australian privacy laws. This policy describes information collected, purposes, handling and access, correction and complaint processes. Contact admin@crewfit.com.au.
2. Information collected
We collect information reasonably necessary to provide and administer services. Depending on your interaction, this may include:
- Name, date of birth, contact details and emergency contact.
- Driver's licence number, where collected for identity verification; we do not retain a licence photo or copy as part of this process.
- Membership or pass details, purchases, payment status and billing records.
- Attendance, access-tag activity, class bookings and cancellations.
- Enquiries, feedback and communications.
- Parent or guardian details and consent for people under 18.
- CCTV images and website usage information as described below.
Payment details are collected through authorised payment systems. Health information is addressed in section 3.
We generally collect directly through applications, forms, websites, portals and communications. Access and booking systems generate records when used. General enquiries can be anonymous. If information necessary for a service is not supplied, we may be unable to provide it.
3. Health information
We may collect health information reasonably necessary for safe participation, appropriate fitness services or medical holds and cancellations. This may include relevant conditions, injuries, medications, screening responses, clearance and supporting certificates.
Collection occurs with consent unless otherwise permitted or required by law. Access is restricted to authorised staff and providers needing it for these purposes. Disclosure may also occur where permitted or required by law, including responding to a serious health or safety threat.
Medical information is not shared with external productivity applications or AI tools.
4. Use and sharing
We use information to administer memberships and passes, process payments, manage access and bookings, communicate, support engagement, respond to enquiries and improve services.
Authorised providers may assist, including membership systems, payment processors, communication platforms, productivity applications and AI tools. We limit shared information to what is reasonably necessary and take reasonable steps to protect it.
Productivity applications and AI tools may organise member-related tasks, review attendance and membership information and support engagement. Information may include member names, membership status, membership type, attendance and administrative task details, limited to what is reasonably necessary for those purposes.
Medical information, banking or card details and driver's licence numbers are not shared with external productivity applications or AI tools, including in notes and documents. Payment details are handled through authorised payment systems.
Other disclosures may occur with consent or as permitted or required by law.
5. Communications and marketing
We may contact you about membership or passes, payments, bookings, safety and changes to services or terms. Where permitted by law, we may send marketing about CREWFIT services, offers and events.
Opt out using the unsubscribe option or email admin@crewfit.com.au. Opting out does not stop necessary service communications. Communications containing promotional content remain subject to applicable marketing and unsubscribe requirements. Health information is not used for marketing.
6. Overseas handling
Some providers may store, process or access information outside Australia, including providers of membership systems, hosting, communications, productivity applications and AI tools.
Where overseas disclosure occurs, we take reasonable steps required by applicable privacy law to protect the information.
Medical information, banking or card details and driver's licence numbers are excluded from external productivity applications and AI tools as described in section 4.
7. Access, correction and deletion
Request access or correction by emailing admin@crewfit.com.au. We may reasonably verify identity. We will respond within a reasonable period and explain refusals and complaint options.
Ending membership or a pass does not automatically delete the profile. We may retain a name and relevant membership records where reasonably necessary for a lawful purpose, including outstanding balances or supporting rejoining.
You may request deletion. We will assess the request and explain records we must or may lawfully retain. Information will also be deleted or de-identified when required by applicable law. Deletion of information needed to administer a service may affect our ability to continue providing it.
8. Storage and security
We take reasonable steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. Information is held in authorised systems and, where necessary, physical records. Access is limited to staff and providers who reasonably need it for their role.
Medical information, banking or card details and driver's licence numbers must not be entered into productivity applications or AI tools, including task notes and uploaded documents.
We review retention and securely destroy or de-identify information no longer needed, subject to lawful retention requirements. If a breach occurs, we assess it and notify affected individuals and the regulator where required by law.
9. Other websites
Links may lead to third-party websites or services with their own privacy policies. Review those policies before providing information. This policy applies to CREWFIT's handling; links do not mean we control another website's practices. Our responsibilities when sharing with providers still apply.
10. Cookies and tracking
Our website may use cookies, pixels and similar technologies to operate, remember preferences, understand use and measure advertising. Information may include IP address, browser and device details, pages and interactions, and may be linked with other information about you.
Advertising and analytics providers, including Google and Meta, may measure campaigns and display relevant ads. Manage cookies through browser settings and available website preference controls. Blocking cookies may affect functionality.
11. Enquiries and complaints
Email admin@crewfit.com.au with concerns and enough information to investigate. We will acknowledge complaints and aim to respond within 30 days. If longer is needed, we will explain and keep you informed.
If dissatisfied, contact the Office of the Australian Information Commissioner through https://www.oaic.gov.au/.
12. CCTV
CCTV records training areas, entrances, exits and common access areas for safety, security and incident investigation. Cameras do not record inside toilets, showers or changing rooms. CCTV records video only, with no audio.
Access is restricted to authorised people. Recordings may be provided to police, insurers or others where reasonably necessary and permitted or required by law. CCTV does not mean footage is continuously watched.
13. Policy changes
We may update this policy to reflect practices or legal obligations. The current version and effective date will be published on our website. Where required, we will notify you of material changes or obtain consent before a new use of information.
